Run the Contacts & Users within Distribution Lists report

The Contacts & Users within Distribution Lists report provides the details of contacts on a workspace’s static distribution lists and shared distribution lists.

The report doesn’t include dynamic distribution lists. Also, shared distribution lists that have been mapped to the current workspace are not included for security purposes. This restriction prevents a user from accessing contact details for contacts who exist in workspaces the user doesn’t have access to.

Note: If your Whispir role is Company Member or Company Guest you don’t have permission to run contact reports. See Enable contact privacy.

There are two versions of the report available: One sorts report results by distribution list name, the other sorts results by contact name.

Steps

  1. Ensure that the required workspace is on the Workspace toolbar.
  2. Hover over the workspace to view the Workspace menu.
  3. Under Reports click Contact Reports. (If you can’t see it, click More to view more commands.)
    The Report Details page opens.
  4. In the Report field select either:
    • Contacts & Users within Distribution Lists – Sort by List Name
      or
    • Contacts & Users within Distribution Lists – Sort by Recipient Name
  5. The page refreshes to show more fields.

  6. In the Select Workspaces field select one or more workspaces.
    (Press and hold the CTRL key to select multiple separate entries, or press and hold the SHIFT key to select a block of entries.)
  7. The Include My Company and Include Contacts check boxes are selected by default. Clear the Include My Company check box if you don't want to include the contacts in the default My Company workspace.
  8. Note: The Include Users check box is no longer in use.

  9. In the Available Fields pane select the contact data fields you want to export and click Add To List to add them to the Selected Fields pane on the right.
    (Press and hold the CTRL key to select multiple separate entries, or press and hold the SHIFT key to select a block of entries.)
  10. To remove fields from the right pane select them and click Remove From List.
  11. Click Export.
  12. Follow your browser’s prompts to open or save the file. (The process can vary from browser to browser.)
